Digitalize processes, optimize organization: ORBIS implements SAP S/4HANA at Diakonie Saar
The internationally active software and consulting company ORBIS AG from Saarbrücken has implemented the ERP suite SAP S/4HANA at Diakonisches Werk an der Saar (Diakonie Saar) with great success. Thanks to the close, collaborative partnership between all parties involved and the consulting, process and technology expertise of ORBIS with regard to SAP S/4HANA, the implementation was completed quickly and the solution went live as planned at the beginning of 2019.
The goal of Diakonie Saar is to use the new application suite to digitalize, simplify, streamline and optimize business processes and make the organizational structure more efficient. In financial accounting (FI) and controlling (CO), as well as in cash management, the social enterprise has already made great progress along this path. The more than 30 specialist users in the FI and CO areas and the approximately 200 cashiers on site are benefiting from improvements and simplifications to the work steps and from data, information and financial reports that are clearly visualized with the help of the intuitive SAP Fiori interface (SAPUI5).
All data from financial accounting and controlling now converge centrally in the Universal Journal. This creates a "single source of truth" for financial processes, eliminating the need for time-consuming reconciliations between FI and CO. Thanks to powerful real-time operational reporting, managers can quickly make informed decisions and manage the business more efficiently. The embedded analysis functions of SAP S/4HANA provide the necessary direct access to current data (live data) and evaluations in any level of detail, down to the individual document if required.
This is real added value - just like the end-to-end digital cash book accounting for the approximately 110 decentralized cash offices of the various social institutions of Diakonie Saar: for example, counseling centers, housing groups, social buying houses, and schools. Today, the accounting is carried out in a web application with preset business transactions, which is based on SAP Cloud Platform and SAP Fiori and is seamlessly linked to the integrated FI cash book of SAP S/4HANA. In this easy-to-use cloud application, cashiers record cash receipts and expenses quickly and conveniently on site. The data flows automatically and without delay into SAP S/4HANA, where it is immediately checked and posted, creating unprecedented transparency in terms of cash journal accounting.
In the course of the implementation, Diakonie Saar also put the organizational structure to the test and optimized it in close cooperation with ORBIS in Finance. In order to map as many business processes as possible integrated in SAP S/4HANA in the future, the existing installation will now be expanded step by step. There are also plans to introduce the SAP BW/4HANA business warehouse solution to link historical data and live data and analyze them in real time, but also to create budget planning in it, as well as a document management system.
